Duties and Responsibilities:

Receptionist & Front-Desk:

  • Greet and assist visitors professionally.
  • Handle incoming calls and direct them appropriately.
  • Manage mail and package receipt, distribution, and shipping.
  • Oversee daily food orders for meetings or office events.

Office Management:

  • Act as a liaison between the office and building management.
  • Ensure all office equipment is functioning properly and coordinate necessary maintenance.
  • Oversee building maintenance services and supply restocking.
  • Manage security access for employees and visitors.
  • Assign desks, manage seating arrangements, and oversee office furniture maintenance.
  • Regularly order and restock office supplies while managing supply budgets.
  • Maintain kitchen supplies and manage related expenses.
  • Book travel for employees as needed.
  • Manage and lead all office vendor relationships.

Contractual Oversight and Analysis:

  • Review up to 5 contracts per week, typically sales agreements and/or contracts with vendors.

Perform other responsibilities as needed to assist in day-to-day functions.

Qualifications:

Office Management Proficiency:

  • Experience in modern management practices
  • proficiency with Microsoft Office Suite
  • Strong desire to learn and grow in the office management areas of focus.

Facility and Resource Management:

  • Proficient in building communications, managing office equipment, building maintenance, security access, desk assignments, repairs, office furniture, supplies, kitchen orders, shopping, and travel arrangements.

Communication and Organizational Skills:

  • Excellent communication and interpersonal skills.
  • Detail-oriented and organized, with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Experience with legal document review.

30 Days:

Objective: Get acclimated to the company culture, understand key responsibilities, and start managing day-to-day tasks.

  • Begin to understand company policies, procedures, and culture.
  • Familiarize yourself with the office layout, supplies, ordering processes, and needs.
  • Manage the front desk independently, with support as needed.
  • This includes managing phone calls, visitors, packages, etc.
  • Understand and introduce yourself to key office vendors and relationships.

60 Days:

Objective: Gain confidence in performing daily tasks, start taking on additional responsibilities, and build relationships within the team.

  • Manage the relationship with office vendors.
  • Organize company events or meetings, such as team lunches or external client meetings, independently.
  • Book travel for team members.
  • Articulate company policy to internal team members and office vendors

90 Days:

Objective: Achieve full competency in all office manager and receptionist duties, start contributing to office improvements, and demonstrate proactive problem-solving.

  • Manage all day-to-day office operations and reception duties independently.
  • Identify any areas for improvement within your role.
  • Take on special projects as needed.
  • Become a go-to resource for all office needs.

Schedule:  

This role is onsite required, 8-5pm Monday-Thursday and 7:30-4:30pm on Friday.

Salary:  

$50,000 - $55,000

JourneyTEAM offers a wide range of excellent benefits including healthcare and dental options, as well as a 401k with a ~4% employer match with funds that vest immediately. We enjoy unlimited time off and our employees average 3.5 to 4 weeks off a year. We also provide a monthly phone stipend of $25 as well as a gym membership monthly reimbursement of up to $200.
