Our client, a Billion-Dollar Private Family Office/Venture Collective located in Midtown Manhattan, is seeking a new Full-Time/Permanent Executive Assistant/Chief of Staff to provide business and light persona support to the CEO and the CFO/COO. The person in the role currently has been with the Firm for 20 years and is leaving for personal reasons. Candidates must have a minimum of 10-15+ years of applicable C-level executive administrative support experience supporting high-net-worth executives (open to industry), a Bachelor’s degree is required, and they must be NYC-based. Ideal candidates should be experienced, highly motivated, mature, confident, highly organized, efficient, warm, congenial, possess excellent communication skills (both verbal and written), and have the ability to “read the room” and advocate in a sophisticated, flexible, non-combative way. - Salary depends on experience (150-200k base), plus discretionary bonus eligibility, equity, etc.
- Hours are 9:00am-6:00pm, with flexibility and a 24/7 mentality. 5 days in office.
Responsibilities:- Manage daily scheduling and meeting logistics, delivering high-level support with minimal oversight and prioritizing tasks aligned with business objectives.
- Keep the C-suite well- informed of daily meetings and upcoming commitments, sending reminders and handling any changes to schedule.
- Prepare the C-suite for all meetings by gathering pre-read materials, crafting clear agendas, drafting briefing documents, and ensuring all essential materials are readily available.
- Provide phone coverage and manage correspondence and emails throughout the day and evening, including drafting and sending written correspondence on the CEO’s behalf.
- Plan, coordinate, and oversee comprehensive travel arrangements (including charter air travel), ensuring seamless itineraries.
- Manage 2-member Admin and Facilities team.
- Partner with CEO’s house manager to prioritize and organize his professional, personal, and family obligations and coordinate and plan company events at multiple properties.
- Oversee credit card payments and statements and transfer funds on the CEO’s behalf.
- Anticipate executive needs and proactively address potential challenges by employing resourceful problem-solving skills.
- Build credibility and nurture relationships internally and externally and foster an environment of communication, trust, collaboration, and mutual respect.
- Develop a deep understanding of the dynamics with and between internal business functions and departments as well as external counterparties.
- Facilitate effective interactions internally and externally, track progress on action items, and ensure timely follow up while managing multiple and often conflicting priorities.
- Filter distractions, triage and manage information flow, and then convey information concisely and precisely and adapt messaging for different audiences.
- Regularly review and refresh workflow procedures and standards to ensure and improve efficiency and effectiveness.
Required Qualifications:- Minimum 10 to 15+ years of C-level executive administrative support experience supporting high-net-worth executives (open to industry).
- Meticulous and highly organized individual with impeccable communication skills, both written and verbal.
- Outstanding problem solver, resourceful, and quick thinking with exceptional project management skills and good judgement.
- Ability to understand the bigger picture and anticipate how priorities shift to effectively anticipate and respond to needs and requests.
- Demonstrated poise under pressure, impeccable attention to detail, and the keen ability to “read the room” and adapt accordingly.
- Upstream thinker: proactive problem preventer and creative solution-oriented multi-tasker.
- Roll-up-your-sleeves mentality and low-ego attitude, with the ability to work flexibly, in a fast-paced environment and in a collaborative team.
- High level of integrity, strong work ethic, and commitment to quality.
- Handle highly confidential information and sensitive document preparation with a high degree of discretion and confidentiality.
- Ability to develop strong relationships, always reliable and communicative to all parties.
- Experience with sophisticated calendar and global travel planning (charter air travel scheduling experience ideal).
- Demonstrated trust with bank account and credit card access.
- Experience working with personal house managers and staff.
- Experience using G-Suite and MS Office applications.
- Must be able to work 5 days a week in-office in NYC and be reachable on evenings and weekends.
